About the Position: 

As an Administrative Assistant with our Lakeland, Florida Branch, you will maintain efficiency, organization, and customer service for the local office.  If you are the ideal candidate for this opportunity, you will enjoy wearing multiple hats, working with people, helping others get organized, and contributing to a fast-paced environment with a high level of accuracy for details.  In this role, you will:

  • Provide sales and admin support to Florida branch manager
    • Research and analyze data to find and qualify new leads
    • Correspond via phone and email with potential customers
    • Track all activities in our CRM, SalesForce
    • Assist with marketing activities and projects
    • Develop PowerPoint presentations
    • Schedule appointments and make travel arrangements
  • Provide office support
    • Serve as receptionist in collaboration with other office team members
    • Schedule service, prepare service orders, and perform the billings and collections
    • Set up and maintain customer contract, job and maintenance files
    • Assist with quoting maintenance, parts, and service
    • Assist with inventory, as requested
    • Serve as an extension of the corporate HR team by assisting with new hire paperwork and other employee initiatives
  • May perform other duties, as assigned.

Qualifications:

  • 3-5 years of relevant administrative experience preferred
  • Highly detail-oriented; ability to prioritize well; strong follow through with tasks and projects
  • Anticipate the needs of others and think two steps ahead
  • Strong communication skills, both written and verbal
  • Excellent computer skills in Microsoft Word, Excel, Outlook, and PowerPoint
  • A self-starter who is motivated and energized by serving others, results oriented, and capable of staying cool under pressure from multiple ongoing projects
  • Enjoy partnering with others to accomplish tasks and improve processes as part of a well-established winning team 

Working Conditions:  Usual office working conditions

 

Reports to:  Florida Branch Manager
